FAQ – Frequently Asked Questions

We are happy to answer your general questions about our event. Additional detailled information about further topics, for example about a participation or the participation for exhibiting companies, are available on the corresponding sub-pages.

Please find all information concerning the registration processes and deadlines here:

  • Exhibiting Company – Exhibitor Registration (in March of the event year)
  • Speaker - Call for Papers (until middle of May of the event year)
  • Participant - Participant Registration (from July of the event year)

This is not possible. As participant, you acquire the entry for the complete event, which includes the presentation program, the technical exhibition as well as all further offers of the Aachen Acoustics Colloquium on all event days.

Any cancellation of an application must be made in writing via email. You can cancel your registration until October 15th of the current event year. We charge a cancellation fee of 75.– € plus VAT. For cancellations between October 16th and November 1st we charge 150 €. In the event of a cancellation by that date, participant fees, which have already been paid, shall be reimbursed minus the processing fee. After November 1st the participant fee must be paid in full according to the invoice. This shall apply both to cancellations after November 1st of the event year and to unannounced non- participation.

You can cancel your registration until October 15th of the current event year. We charge a cancellation fee of 75.– € plus VAT. For cancellations between October 16th and November 1st we charge 150.– €. In the event of a cancellation by that date, participant fees, which have already been paid, shall be reimbursed minus the processing fee.
However, you can name a representative, who is not registered yet. Changes of participants shall be submitted in writing by seven days before the event and include all personal data. The official registration form must not be used for the notice of change. If the replacement participant does not fulfill the same conditions as the original participant, for example if he is not entitled to a discount, which was granted to the original participant, the difference shall be paid immediately.

The registration of a exhibition booth includes the participation for one booth supervisor including the presentation program, banquet and benefits. The stand must be supervised for the entire duration of the conference. All additional attendees have to register separately.

A group discount is not available.

Participants of the Aachen Acoustics Colloquium will receive a digital list of participants with their access to the event app. In accordance with data protection regulations, only those participants who have agreed to this will be listed. You can change your visibility yourself in your settings.

The registration for the banquet is done within your participant registration. The banquet takes place at the "Krönungssaal Aachen". All information concerning the banquet is available here.

A parking ticket for the APAG car park Eurogress in the immediate vicinity of the event location is included in the conference fee. Please note that the Quellenhof parking garage is not an APAG parking garage. If you park here, you have to pay the fees yourself.

No, every participant is responsible for booking his own accommodation.

Wifi is available free of charge at Parkhotel Quellenhof Aachen. You can find the login data displayed in the foyer, for example at the conference office. Please notice that during peak times, for example in the lunch breaks, the connection might be slower due to increased use.

Yes, we use the event app "MobilityAC" for the Aachen Acoustics Colloquium. You can already download the app here: https://www.swapcard.com/app/mobilityac
Access to the app will be activated on Friday before the event. Then you can register with your email address with which you also registered for the Colloquium.

Of course, you will be hosted throughout the colloquium. The catering is included in the conference fee.

On Monday evening, we will offer soups and fingerfood as well as drinks during the welcome reception. On Tuesday and Wednesday, snacks and drinks will be available the whole day. For lunch we serve chosen dishes – of course also for vegetarians – and wine. On Tuesday evening, you can look forward to an exclusive dinner.

Yes, a cloakroom is available to the participants and free of charge.

Usually, our event is attended in business look, meaning that most of the participants take part in a suit or a corresponding equivalent.

The entire conference will be held in English.
There will be no simultaneous translation.
